Job Description
Constellation Search Group is looking for an HR/Payroll Administrator for a full-time direct hire opportunity. Your key responsibility will be to serve as a vital team member associated with accurately and consistently completing the accounting functions for the assigned project. This position will be located on the job site in Madison, Wisconsin.
Responsibilities:
- This role will be responsible for managing payroll processes, ensuring compliance with multi-state tax filing requirements, handling benefits administration, and supporting human resources functions
- Process full-cycle payroll, including salaried, hourly, and commission-based compensation
- Ensure accurate calculation and timely payment of wages, commissions, and bonuses
- Enter, review, and process complex payroll in QuickBooks, ensuring accuracy and compliance with company policies and tax regulations, with a strong understanding of its impact on financials
- Reconcile payroll transactions between QuickBooks and payroll processing systems such as UKG and Gusto, identifying and resolving discrepancies
- Maintain compliance with federal, state, and local tax regulations, including multi-state income tax filings
- Manage payroll tax agencies, including enrollment, account closures, and handling corrections/amendments on payroll taxes
- Prepare and submit payroll-related reports, including quarterly and year-end filings (W-2s, 1099s)
- Maintain and update employee records, ensuring confidentiality and compliance with labor laws
- Support benefits enrollment, changes, and administration, including health insurance, 401(k), and other company benefits
- Coordinate new hire documentation and ensure timely completion of I-9s, W-4s, and direct deposit setup
- Facilitate background checks, employment verification, and onboarding schedules
- Assist with drafting, distributing, and managing employment contracts
- Monitor and update HR policies and employee handbooks as needed
Qualifications
- 5 years of experience in payroll processing, HR support, and benefits administration
- Experience with multi-state payroll tax filings and commission-based compensation structures
- Strong knowledge of employment laws, payroll regulations, and tax compliance
- Proficiency in payroll software (e.g., ADP, Paychex, QuickBooks Payroll, or similar systems)
- Excellent attention to detail and ability to maintain confidentiality
- Strong communication and interpersonal skills
- Ability to work independently and collaboratively in a fast-paced environment
